Scope of work:
The HR and Admin Officer will assist in all aspects of HR practices within KAFA. processing employee data, updating the policies, providing assistance in the process of recruiting, and assisting in the day-to-day operations of the Human Resources activities.
Main Tasks and Responsibilities (include but are not limited to)
- Maintain up-to-date document records for employees and consultants.
- In charge of the drafting of different types of contracts, ensuring that they are compliant with local employment law
- Monitor contract end dates and extension dates to ensure continuity of service.
- Monitor project requirement document
- Maintain employee records (attendance, EEO data, etc.) according to policy and legal requirements
- Prepare correspondence/documentation (reference letters, NOC, salary certificates, visa, etc.) required for colleagues.
- Create materials to train and onboard the employees.
- Prepare and update KAFA Organizational Charts.
- Respond to inquiries from employees concerning benefits like the precedent, number of qualified vacation days, etc
- Assist in recruitment by preparing job descriptions, posting ads, and coordinating the hiring process.
- Screen applications and shortlist candidates.
- Schedule prospective candidates’ job interviews and be a point of contact as required.
- Assist in the administration of and preparation for candidate interviews.
- Assist in the drafting and issuance of employee documentation such as Recruitment Approvals, NDA, and Conflict of Interest agreements and conducting reference checks.
- Follow up on the probationary review process
- Assist in preparing and implementing the performance management processes with an ability to take action plan further
- Conduct exit interviews and follow up on the staff End of Service process
- Liaise with the Finance Department regarding payroll updates and effect on payments.
- Support the finance department with the employee registration process, including liaising with social security authorities, accountants, and legal representatives as and when required.
- Create and circulate documents about new/updated policies.
- Prepare reports and presentations on HR-related metrics
- Provide guidance when needed to HR-related queries.
