Main duties & Responsibilities:
Documentation & Compliance:
Ensure that all wareouse related activities are well documented, are in compliance to all warehouse manual and SOPs and laid down policies and procedures by:
- Receipt and recording of item inflow and outflow on stock systems.
- Verification of goods specifications prior to receipt into warehouse.
- Ensuring stock is laid out in a manner that allow it to be accessed and counted easily.
- Ensuring stock is held in appropriate, secure conditions.
- Monitoring of the expiry date of stocks and update of departmental managers on stock close to expiry.
- Undertaking sample stock takes on a weekly basis and reporting on any discrepancies to the Logistics Manager.
- Documentation of any identified loss, theft or damage to commodities that may occur while they are unloaded, stored or dispatched from the warehouse.
- Send on an update stock report to the Logistics and Security Coordinator on a weekly basis.
- Ensure that no unnecessary delays occur during the process of requesting stock.
- Report to the Logistics and Security Coordinator whenever there might be delays at any point during a delivery process.
- Oversee the collection and receipt of goods from the vendors, ensuring that the goods are of the required specifications.
- Efficient management of all documentation and paper trails in the Concern warehouse System and UNHCR Systems
Casual Labours Management
- Oversee the work of casual labours employed to assist in loading, unloading and stock movement within the warehouse.
- Oversee the work of trucks drivers to assist in stock movement from the warehouse to their destination and prepare their payments.
- Complete timesheets on behalf of casual labours and prepare their payments.
Reporting & Records Management
Ensure that all warehouse records are properly kept and all reports submitted in a timely manner by:
- Maintaining a filing system in line with Concern warehouse procedures and UNHCR procedures
- Maintaining all warehouse files (both hard and electronic copies) in an organized, accurate and up to date manner.
- Ensuring that all documentation and correspondences arising out of any warehouse related transaction is appropriately documented and incorporated in the corresponding warehouse file.
- Maintaining and regularly updating the stock cards and bin cards.
- Generating any other warehouse related reports as may be requested by the Logistics and Security Coordinator.
Internal & External Business Partnerships:
Ensure that the warehouse function works better together with both internal and external stakeholders by:
- Assisting requestors to outline correct item release orders when making release request.
- Liaising with the DONOR warehouse representative on the warehouse replenishments and anticipate dates for receiving commodities.
- Proactively sharing information with Departments, Partners and DONOR on the status of the stock.
- In collaboration with the Logistics and Security Coordinator, support programing teams in the development and close monitoring of movement of Stock.
- Preparing accurate and complete Payment Requests (with all supporting documents) for the Trucks and Labour and onward submission to Finance Dept. upon Logistics and Security Coordinator review and Departmental approval.
Other
- To adhere to the standards of conduct outlined in the Programme Participant Protection Policy and Concern Code of Conduct.
- To support and Promote the standards outline in the Programme Participant Protection Policy and Concern Code of Conduct to their team, partner organisations and beneficiaries, and be committed to providing a safe working environment.
- To contribute to the establishment of preventive measures to reduce the potential for abuse in Concern programme ( as per P4 section 6)
Undertake other appropriate tasks that support the work of Concern in Lebanon as requested.

Person specification:
Essential
- Minimum of three years’ experience in humanitarian organisations within the Logistics department specifically warehouse. .
- Degree in Business Administration, supply chain and operations or similar required.
- Previous experience of working with a diverse team of staff
- Excellent interpersonal and team skills
- Excellent computer skills (DDGs, Microsoft Office)
- Fluency in written and spoken English
- Commitment to and understanding of Concern’s values and principles
- Strong commitment to ensuring the protection of refugees

- Strong sense of security management and willingness to follow security guidelines and regulations
Desirable
- Willingness to undertake regular field visits and interact with different stakeholders, especially primary stakeholders
