HR & Admin Officer is required to maintain and control the HR functions in the organization. He/she is responsible for processing employee data, records, preparing documents, and ensuring that employees are receiving the right adequate support in the most efficient manner.
Detailed Job Description
- Maintain and file all staff-related documents such as contracts, onboarding documents, recruitment, training, performance evaluations, and staff leaves.
- Monitor staff daily punch in on StaffBit application and sends a daily report to the Head of Operations.
- Prepare monthly attendance sheets and timesheets for all team members.
- Ensure that the punch in time inputted is correct and correlates with the staff daily task duties.
- Ensure that all timesheets and attendance sheets are signed and approved by the employee, department manager, and HR manager.
- Support the Head of Operations in preparing staff-related letters, memos, recommendation letters, and other relevant staff documentation.
- Work closely with the communication officer to update the organizational chart design once it is modernized and approved by the CEO and Head of Operations.
- Work closely with the Head of Operations to update the HR policy manual and other organizational policies.
- Acquaint all staff to the HR policy and ensure its implementation.
- Support the Head of Operations in the recruitment process from time-to-hire and time-to-fill. Through preparing job descriptions, posting ads, and managing the hiring process.
- Prepare the monthly payment vouchers related to staff and volunteer salaries and allowances.
- Support and answer all team questions related to examinations, eligibility, salaries, benefits, and other information, and resolve any internal conflicts.
- Review employment and working conditions regularly to ensure legal compliance and look after the health, safety, and wellbeing of all employees in the workplace.
- Assist the Head of Operations in overseeing and managing a performance appraisal system and reflection assessment system to drive high performance.
- Perform any additional tasks, when requested by the Head of Operations.
Reports to: Head of Operations
Supervisory Responsibility: Employees, Contractual, Volunteers, Interns.
Collaborates and Works with: Finance, MEAL, communication, and supply chain.
Knowledge and Experience
- Bachelor’s degree in business administration or human resources.
- 1-3 years of experience in human resources and administration.
- Minimum 1 year of experience in the humanitarian sector (preferably in HR)
- Knowledge of principles and procedures for personnel recruitment, selection, training, compensation, and benefits.
- Solid organisational skills, including multitasking and time-management skills.
- Proven experience in Microsoft Office: Word, Excel and PowerPoint.
- Demonstrate the ability to communicate, motivate effectively to a wide variety of individuals.
- Ability to work both independently and in cross-functional teams and solve problems creatively.
- Commit to diversity, equality, and social inclusion.
- Proven neutrality with all staff members with an excellent sense if judgment.
- Excellent command of Arabic and English language (writing, reading, and speaking fluently).
- French or any other language is a plus.
