General HR Deliverables

  • Ensure a consistent and accurate implementation of all HR policies and procedures; any deviation from the procedure should be approved first by the HR Manager;
  • Follow up on the daily attendance of staff by being informed on lateness, absence, and any other changes which is affecting employee’s daily attendance;
  • Perform a variety of HR support duties; copying, scanning, printing, typing, translating, assisting in organizing HR events, gather the signatures for the HR related documents from the employees and their supervisors, communicating with staff, assisting in HR trainings and workshops, assisting in developing HR reports;
  • Send and collect the signed Payslips for all employees on a monthly basis.
  • Support the HR team in creating accounts for the new joiners on LMS and de-activating accounts for the leavers.
  • Support the HR Coordinator in updating the Quarterly Local National Employee Data and ensure that the HR databases are updated on time.
  • Prepare, print out and distribute the RI IDs for the new joiners and the current employees on a timely manner.
  • Assist the HR Coordinator and HR Manager in taking the minutes of meeting that accurately reflects the decisions and discussions that took place during the meeting with any employee/ Volunteer.

 

Recruitment Process Support:

  • Assist and closely follow up scheduling of interviews with shortlisted applicants and sending the right communication e-mails to applicants accordingly;
  • Assist in the HR Orientation Sessions for new staff allocated by preparing and printing out all needed documents in alignment with the HR policies and procedures and in close coordination with the relevant HR Member;
  • Assist in filling in the needed forms for the new hires as requested while paying close attention to quality of work;
  • Open hard copy files for new hires after double checking that all policies and required documents are signed;
  • Support in entering new hires information in the HR database and scan all needed documents accordingly;
  • Assist the HR Team in the Recruitment process/steps which include but are not limited to: Vacancy Posting, Scheduling Interviews, Conducting Interviews (for specific positions), Reference Checks, Terrorist Checks, and Gathering Pre-Employment Documents.
  • Act in a highly professional and objective manner under all kinds of circumstances with internal staff and external parties while keeping the HR team regularly well informed and updated;

Qualifications and Skills Requirements

This position will require a demonstrated ability to achieve results in a demanding and fast paced environment.

 

  • Bachelor degree in HR or Business or any other relevant university degree;
  • At least 2 years of related experience in the HR field; preferably with an INGO;
  • Excellent knowledge in HRIS is an advantage;
  • Demonstrated ability to handle work in an ethical manner and with strict confidentiality;
  • Proficiency with Microsoft Office (Word, Excel, and PowerPoint) and Outlook.
  • Excellent interpersonal/communication skills, including patience, diplomacy, willingness to listen and demonstrate respect for colleagues;
  • Capable of working both individually and as part of a team while being Self-motivated and initiative taker;
  • Flexible, willing to perform other duties and work irregular hours;
  • Excellent English and Arabic Communication skills;
  • Detailed oriented with high attention to quality of work;
  • Ability to best represent HR in meetings and workshops
  • Ability to work effectively in a fast-paced, stressful environment.
