Project Description
Nation Station is a youth grassroots’ initiative, based in a rehabilitated gas station in the heart of the neighborhood of Geitawi in Beirut. It was created in response to the Beirut explosion on August 4, 2020, to serve as a hub for food, medical and rehabilitative support. Based on a detailed and evolving assessment of the needs, they are essential players in the response to the blast.
Nation Station aims to provide sustainable relief to the affected household of the Beirut Blast through a combination of effective organization, data collection and donation distribution.Nation Station seeks to evolve from an immediate relief center to a long-term, self-sustaining community hub that hosts cultural events and platforms of collaboration with upcoming crisis intervention initiatives.
Job Summary
Nation Station is hiring an Admin and Finance Officer to oversee and manage the organization's financial and admin operations. This key role involves maintaining accurate records, managing transactions, and ensuring compliance with policies.
The officer will analyze financial data, prepare budgets, and forecast outcomes. Collaboration with different departments is essential for sharing information, communicating insights, and supporting decision-making. Moreover, the officer will work towards enhancing cash flow, improving financial processes, and strengthening internal admin controls.
The Admin and Finance Officer's expertise and attention to detail will greatly contribute to Nation Station's financial well-being and success.
Main Tasks and Duties:
- Invoicing: Responsible for submitting required invoices and quotations.
- Accurate maintenance of financial records: ensure all data entries, including transactions, income, expenses, grants, and donations, through ledger and journal voucher management.
- Procurement Management: managing procurement process, including supplier selection, contract negotiation, and timely processing of purchase orders.
- Budgeting: assisting in preparing annual budgets and financial forecasts, monitoring expenses, and reporting on budget performance.
- Payments Management: Overseeing payment procedures, verifying invoices, processing payments, and maintaining documentation.
- Archiving: Ensuring proper archiving and record keeping of financial documents, such as invoices, receipts, and contracts, in accordance with policies.
- Reporting and Analysis: Preparing financial statements (income statements, balance sheets, P/L, cash flow statements…) in line with accounting standards and reporting to management and donors. Analyzing data to identify risks, opportunities, and recommendations for better financial performance.
- Fund Management: Overseeing grants and funds, ensuring compliance, tracking expenses, preparing financial reports, and analyzing data to provide insights for strategic decision-making.
- Communication: Collaborating with the manager and the team at Nation Station, and other partners, providing financial guidance, and effectively communicating financial information to other staff.
Requirements:
- Bachelor's degree in Business, Finance, Accounting, or a related field.
- Previous experience in finance and accounting roles, preferably in NGOs.
- Strong understanding of accounting principles, financial regulations, and nonprofit financial management practices.
- Proficiency in accounting software, preferably Omega and Microsoft Office Programs mainly excel.
- Familiarity with financial regulations, tax laws, and donor reporting requirements.
- Ability to prioritize tasks, meet deadlines, and handle multiple projects.
- Excellent analytical skills with attention to detail and accuracy.
- Effective communication skills, both written and verbal.
- Ability to work independently and collaboratively in a team-oriented environment.
- Strong organizational and time management skills, with the ability to prioritize and meet deadlines.
- Fluent in Arabic and English, French will be a plus.
Remuneration and Duration
- Full Time Job: 5 days per week
- Salary: 800$.
- Duration: Six Months renewable / Start Date: 1st of August, 2023
