Under the direct supervision of the Support Services Manager, the Office Assistant / Receptionist will be responsible for greeting and welcoming guests and providing administrative assistance to the HR, Finance and support services departments.
General Responsibilities
- Greet and welcome guests.
- Direct visitors to the appropriate person and office.
- Answer, screen, and forward phone calls.
- Receive and respond to emails.
- Assist the staff with printing and photocopying documents.
- Schedule meetings.
- Perform clerical and administrative tasks.
- Assist with ordering office supplies and stationery as directed by the Support Services Manager.
- Assist with keeping office inventories updated.
- Provide administrative assistance to the Finance, HR and Support Services departments with their daily tasks.
- Maintain files and records.
- Act as focal point for all maintenance related tasks (electricity, plumbing, internet, etc.)
- Perform other duties as required by Support Service Manager.
Qualifications
- Knowledge, Skills and Abilities:
- Computer Skills:typing, email communication, working with word processing documents and spreadsheets, using databases, online research, and image editing.
- Strong communication skills.
- Good attention to details.
- Strong organizational and time management skills.
- Ability to prioritize responsibilities.
- Ability to meet deadlines.
- Ability to multi-task efficiently.
- Ability to use all general office equipment.
- Excellent written and spoken English and Arabic.
- Competencies: friendly and easy-going person, with positive and helpful attitude.
Experience:
- One year of related work experience.
- Relevant working experience in an International NGO is a plus.
Working Conditions
Stationed in IOCC Lebanon’s main office in Beirut – Mansourieh.
