Scope of the Role:
Reporting to the Procurement and Coordinator, the Security & Logistic Assistant is required to plan and prioritize work load on a daily basis ensuring the safety and security and of Islamic Relief’s staff and buildings, and coordinate with the procurement & logistics team to assist the department overall operations.
Responsibilities:
- Ensure the security and safety of IR personnel in the country of operation; in particular by means of developing a security plan containing both an assessment of vulnerability and threats and an active plan to minimise those risks;
- The Security & Logistic Assistant will be responsible for security management as an advisor to the IRL management and will respond to emergency and crises situations where and when needed.
- Co-ordinate and provide training to field staff (Expatriates & Nationals).
- Act as a liaison with local and regional officials, UN, NGO and other agencies regarding security issues in the planning, co-ordination, promotion of, and support for existing and future IRL projects.
- Collect, author, compile and analyse security related reports, SOP’s and humanitarian related security information from multiple sources ensuring that the security posture is current and relevant to the situation on the ground.
- Communicate with relevant government offices and local authorities to facilitate permissions, movements and access of ILRL’s staff to ensure smooth accessibility
- Track and report on relevant incidences, near misses, and the geopolitical situation in Lebanon.
- Support and build the capacity of focal security staff.
- Work with HQ security to insure the proper implementation of security policies and procedures.
- Report all significant security matters to line manager and advise according to the security situations.
- Advise IRL management on clearances for IR staff and their dependants, if applicable, to enter the country whether on mission or on assignment, provided there is a security phase in effect.
- Ensure that all staff members and their dependants are inducted on security protocols, as well as visitors are briefed on existing security measures at the Field Office and in country;
- Work with IRL departments and ISD (International Security Department) at HQ to ensure security framework and policies are in place.
- Give appropriate security directives to staff members in the expectation that they will be adhered
- Finalize the assigned purchase request according to the procurement plan well in time in coordination with program and Logistics team
- Continues follow-up with suppliers and service providers for in time delivery of items and communicate to requisite department accordingly.
- Collect the all invoices from suppliers, prepare the payments documents and submit it to the line manager for verification.
- Organise the transportation and distribution of supplies in coordination with logistics team.
- Assist in the collect of quotation and all procurements matter according to the plan.
- Assist the logistics coordinator with other logistics/security services when necessary.
REQUIRED SKILLS AND EXPERIENCE
- Minimum of 2 years of experience working for an I/NGO is a must
- University degree is a must OR Relevant Working Experience.
- Proven track record of working in a similar capacity with the nation and/or international NGOs in the region;
- Knowledge of gender and gender equality;
- Exceptional writing skills in both Arabic and English languages (French is a plus);
- Knowledge and skills in computer usage including word, excel, power point, and social media;
