Your responsibilities
- Ensure the cash management by being responsible of all cashboxes: guarantee that the money is disbursed and/or the advances given according to the rules, and from the right cashbox and allocated to the relevant project(s)
- Regular cash reconciliation (ensuring that physical cash balances are matching cashbook records)
- Sending updated cash position to Finance Expert on weekly basis
- Make Cash count with HOP / Junior Expert
- Do the follow-up of the advances given to staff
- Inform on a regular basis if there are enough funds in the cashboxes for all projects
- Guarantee that the exchange of currency is done properly and from a reliable exchange office
- Check the vouchers and the relevant supportive documents of cash payments (quality, authenticity, reliability, accuracy and fairness)
- Participate, if needed, to the major payments which must be done in the field
- Collect the relevant supportive documents regarding the expenses/ purchases/ payments done in the field
- Daily booking of vouchers in the accounting software
- Close each cash box on accounting Software at the end of each month
- Upload and file all posted vouchers after getting the signatures needed
- Ensure due payments for all items and services (after approval) and advances
- Guarantee the respect of Welthungerhilfe’s financial guidelines and procedures
- Ensure that Lebanese Accounting Rules are met with each voucher/ transaction done by the Finance Assistant
- Routinely work with and be responsible for the original payment and related supporting documents entrusted to him/her: collect, check for compliance, process and file according to instructions, maintain confidentiality about content of the documents
- Scan Vouchers for all projects and be responsible for filing electronic scan files and the overall organization and maintenance of the scan archive
- Prepare Original invoices and send them to HQ on Quarterly basis
- Fulfillment of any other tasks assigned by the management that correspond in general with the nature of this position
- Replace the Finance Officer in case of leave.
- Ensure induction of Cash payments and reimbursements for new staff.
Required Qualifications/Credentials:
• Education: A university degree (e.g. in Business, Accounting, Finance or Economics)
• Work Experience: two years of professional experience preferably in NGOs.
• Skills/knowledge:Knowledge of MS Excel and experience in using accounting software
• Readiness to travel to Baalbek-Hermel, Akkar, North, and/or Southern governorates. • Good Excel skills.
• Social Skills; Excellent communication, moderation and intercultural skills
• Language Skills: A command of English and native Arabic language.
