Scope of responsibility:
Ensure registration and admission of patients visiting MSF health facilities and prepare the patient for his/her consultation according to MSF protocols.
Function responsibilities include:
- Welcome patients, inform them about how the facility functions, and ensure the availability of a comfortable waiting area for them and their relatives.
- Ensure good flow of patients avoiding overcrowded rooms and having patients standing up for long time while waiting for their turn.
- Bring any patient with an obviously serious medical problem to the attention of the medical assistant/doctor.
- Identify patients and register their administrative details: The associated activities are, amongst others:
- Create and update files for patients according to protocols and ensure maintaining and filing system in good condition.
- Checking vaccination status of children less than 5 years old.
- Put an identification bracelet on the patient with the ID number of the child and the name of the center Refer to supplementary feeding program (SFP) those patients fitting the admission criteria for SFP (nutritional program-specific).
- Ensure, maintain, and promote confidentiality regarding all information registered.
- Keep record of daily attendance, exits (cured, defaulter, death, or transfer), and collaborate with the outreach team in their tracing of defaulters to ensure they come back.
- Report daily to the hierarchical superior about daily/weekly admissions, defaulters.
Specific Accountabilities
- Coordinate patient appointments to avoid overcrowding, promote social distancing, and ensure timely access to care.
- Set schedules that align with public holidays, meetings, and training workshops.
- Collect and verify patient information, including personal details (phone number, name of patient, place of living, and appointment data).
- Enter patient data into the clinic's Electronic Appointment System (EAS) accurately and promptly.
- Retrieve and organize patient files for appointments and consultations.
- Adjust the scheduling properly to get enough time between sessions for cleaning and disinfection completion.
- Address patients' questions and concerns about appointments, patient registration, scheduling, and services.
- Collaborate with the nursing team supervisor, healthcare providers, support workers, and other departments to improve patient flow and clinic efficiency.
- Maintain an engaging and professional approach when dealing with patients, visitors, and staff.
- Provide clear and helpful information regarding facility procedures, wait times, and other relevant details.
- Stay vigilant for unusual symptoms and promptly notify the nursing staff of any concerns.
- Ensure all documentation is complete and accurate.
- Schedule patient appointments and manage the clinic's appointment system.
- Encode appointments on the EAS.
- Communicate effectively with medical staff regarding patient schedules and any changes.
- Responsible for properly organizing and archiving patient files.
- Register of patients according to their appointments and schedule appointments for new patients depending on their diagnosis and health situation in collaboration with the medical team.
- Provide new appointments, according to the files, for NCD (Non-Communicable diseases) and MHGAP (Mental health GAP) patients out-of-public holidays/planned meetings and training.
- In collaboration with social workers, track missed appointments reasons.
- Orientate patients to the required service or rooms.
- Rearrange files after encoding them on the DHIS2 system and manage the defaulter files.
- Call patients when requested (unplanned leave or holiday).
- Communicate with the patients the importance of time management and appointment respect.
- Collaborate with Nurse Aids in managing COVID-19 and IPC measures and reinforce the messages about social distancing.
Requirements
Education Essential: Lebanese Baccalaureate Certificate of Secondary Education issued by the Lebanese Ministry of Education and Higher Education (شهادة البكالوريا اللبنانية للتعليم الثانوي صادرة من وزارة التربية والتعليم العالي اللبنانية)
Desirable: Diploma or degree in a medical or paramedical discipline.
Experience
Essential: At least 1 year of previous working experience in a similar role in a medical or paramedical company/organization.
Desirable: Previous experience working for local or international NGOs.
Languages Essential: Full professional proficiency using the Arabic Language.
Desirable: Limited to full professional proficiency using the English Language.
Knowledge Essential: Basic knowledge of mathematics.
